Similar to our Atlas Unit Plans, Atlas Lesson Plans also go through the archive process during the roll over to the new academic year in your system. On your archive date, Atlas takes a snapshot of any lessons in the system and moves them into the archive folder, along with your units, on the archive date you’ve specified. To learn more about the Atlas Archive, click here [LINK].
The active version of your lessons will roll forward into the new year, but maintain last year’s date, or move forward to the first weekday in the new year, if that date falls on a weekend. At this point, you have a copy to pull from in the archive and can edit the active version for the new academic year.
As lessons are a daily-use feature in Atlas, and lesson lists can become quite long, this guide will walk you through some helpful tips for cleaning up to start the new year fresh and ready to plan!
For Lesson Managers and Admins: Manage Lessons
Login to Atlas and navigate to the Manage Lessons page:
Filter to Find and Remove Lessons
Use the filters at the bottom-left of the page to find lessons that likely need to be recycled:
-
Lessons with no editors
- These lessons were likely abandoned as teaching assignments changed. You can “Select” or “Select All” and use bulk options to “Add Editors” or “Move to Recycle Bin”
-
Lessons with no content
- This filter will help you find lessons that have been created, but do not yet have any information. You may want to use the “Last Updated” column to see if these lessons have been abandoned, or if they are new and awaiting development.
-
Lessons in deleted courses
- Are any of these lessons still relevant? If so, reach out to the teachers to suggest they move the lessons into an active course (they can do this from Actions > Lesson Settings)
- In most cases, these lessons should be recycled. You can do that in bulk by choosing Select All > Move to Recycle Bin
Tip: the Last Updated column can be very helpful for determining if a lesson should be recycled or not.
Removing or Reassigning Lessons when a Teacher Leaves:
- If a teacher is leaving your school (or changing courses) you can easily adjust their lessons from this page.
- Filter for the teacher name. You can look at all lessons at once or filter by course to look at/ adjust one course at a time.
- If you want to reassign the lessons, you can bulk select and choose to “Add editor” to all lessons with the replacement teacher and then “Remove editor” to remove the departing teacher.
Tip: This can also be done when updating your users in Atlas via Admin > Manage Users. The system will ask you if you’d like to reassign their lessons in the process of deactivating users who are no longer at your school.
Remove old Lessons
- Manage Lessons will automatically filter by Last Updated to show the most recently updated lessons. Click on the “Last Updated” column to change the filter order to find the lessons with the oldest “Last Updated” date
- You may consider recycling all lessons that have not been updated over the course of the last academic year, or another date of your choosing
Reach out to Atlas Support for Help
Need help managing your lessons for the year? Reach out to support@onatlas.com if you would like our help! Here are a few items our Tech Team can help with:
- Remove lesson submission status - this is a common request if all lessons should be resubmitted for review in the new academic year.
- Remove lesson dates - some schools want to remove all lesson dates for the new academic year. Even after we remove the dates, the lessons will remain and can be easily found in the Unit Lesson List so that teachers can add their new dates throughout the year.
- If your site needs bigger clean-up, we can also help with any of the changes outlined above!
For Teachers: My Lessons
If you are a teacher using Atlas, the best place for a bulk yearly clean up is My Atlas > My Lessons > My Lesson List.
- Have your course assignments changed? Filter by course and choose to reassign or recycle lessons from the old course
- Lessons will live in the recycle bin for at least 2 years, so no need to worry should you want them back
- Do you have some old lessons? Click on the column heading for “Last Updated” to find the lessons that were updated the longest ago- are these still relevant?
- Use the filter for “All My Lessons” to find additional options- do any of these need cleaning up?
