Each year, a snapshot of the current year's curriculum is copied as an archived record. Users may browse and view the maps in All Curriculum > All Courses tab, but the archive copy cannot be modified.

As an admin, you DON'T have to delete courses to prepare your system for the new academic year. All courses, units, and lessons will MOVE FORWARD to the new year.

Atlas will notify users 30 days prior to your annual archive date as a reminder to complete or update curriculum maps to reflect the most current data.

1. Review Your Current Archive Status

Before making changes, check the Current Status card at the top of the page. Here, you can verify:

  • The academic year currently in development (e.g., 2025 - 2026).
  • The date your site was Last Archived.
  • The currently Scheduled Archive Date and who selected it.

2. Schedule or Change Your Archive Date

To set or move your annual archive date:

  • Navigate to the calendar interface at the bottom of the section.
  • Use the arrows (< or >) to toggle between months.
  • Select a date: You may choose any weekday (Monday–Friday).
  • Click the Set Archive Date button to save your selection.

This date applies to all schools within your Atlas system. If no date is selected, the system will automatically archive after the end of the academic year.

3. Configure Archive Options

Tailor how your data migrates to the new year using the Archive Options toggles:

  • Lesson Review Status: Choose whether to Keep or Remove the "Reviewed & Pending Review" flags on your lessons.
  • Lesson Dates: Choose whether to Keep the specific calendar dates assigned to lessons or Remove them for a fresh start in the new year. Lessons will be left with no date assigned to them.

4. Apply Cleanup Options

Maintain a clean curriculum database by checking the boxes under Cleanup Options:

  • Recycled Courses and Units: Remove all lessons associated with courses or units that have been moved to the recycle bin.
  • Unassigned Lessons: Remove lessons that have no assigned editors (this automatically excludes "Approved Example Lessons"). 

If OneRoster is enabled

Most SIS systems have a rollover date between academic years, where the active teachers, students and classes are moved forward to support the coming academic year. It is important to coordinate this SIS rollover, with the Atlas archive date, that also happens once each year. Atlas team highly recommends taking two steps:

  • Coordinate the Atlas archive with your SIS rollover date. 
  • Suspend the OneRoster sync with Atlas BEFORE the Atlas archive and SIS rollover, then enable it AFTER both have completed successfully.
